This privacy notice explains the information PreStartPilot processes, why it is used and the controls available to workspace customers.

Information we process
PreStartPilot processes account details, company membership, sites, assets, form responses, GPS positions, evidence, defects, worker and contractor credential records, site attendance and evacuation response records, billing status and security audit events. Credential records may include licences, white cards, qualifications, insurance details and documents uploaded by the workspace customer.
Local pricing
On pricing and registration pages, PreStartPilot may use an IP address to infer an approximate country and display the relevant currency. It does not request precise device location for this purpose. The country is not detected, the website displays US-dollar pricing. Only a one-way hash is held briefly in memory to reduce repeated lookups.
How information is used
Information is used to deliver field workflows, maintain records, provide authorised integrations, secure accounts, communicate service events and support customers.
Site attendance location
When a worker chooses to check in to a site, PreStartPilot records a current precise location and then attempts to update it about every five minutes while that attendance session remains open. Authorised workspace supervisors can view the worker's latest reported position, update time and whether GPS accuracy places it inside, outside or near the configured site boundary. Mobile operating systems may defer an update for battery, connectivity or permission reasons. Tracking stops when the worker checks out. PreStartPilot does not use this information for advertising or cross-app tracking.
Company control
Company administrators control workspace membership and access. PreStartPilot does not sell personal or operational data.
AI-assisted guidance
When a person uses an enabled PreStartPilot assistant, their question and limited product context may be sent securely to an AI service provider to generate a reply. The authenticated app assistant receives the person's role, enabled section names, current app section and aggregate workspace totals; it is not given individual operational records or evidence. The integration requests stateless processing and does not save assistant conversations into the workspace. People should not enter passwords, recovery codes, API keys or other secrets.
Service providers
Carefully selected infrastructure, email and payment providers may process limited information only where needed to deliver the service.
Account deletion and retention
Every user can initiate account deletion in the app under Security → Account and data, or use the public Account deletion page if they no longer have the app or cannot sign in. Signed-in deletion ends access, signs out active sessions and stops attendance location tracking immediately. Personal login and contact details are permanently anonymised within 30 days.
Operational safety records, inspection evidence, audit events, security and fraud-prevention records, transaction records and data needed for legal obligations may be retained by PreStartPilot or the workspace customer for the required period. Where practical, retained records are separated from or stripped of personal account details. Encrypted backups expire through the normal backup-retention cycle and are not restored to active service except for disaster recovery. Access and correction requests can be submitted through the company administrator or the PreStartPilot contact page.
